Why business calls go straight to voicemail

When calls to a business line go straight to voicemail, often with no ring at all, the cause is almost always a setting rather than an outage. Work through these in order, starting with the ones that take a minute to check.

First, confirm what callers hear

Call your business number from a mobile phone that isn’t on your phone system. Note whether it rings first, how many times, and which voicemail greeting plays. A call that goes to voicemail with no ring points to a setting that diverts calls before they reach a phone. A call that rings several times first points to a ring group or forwarding rule where nobody picks up.

Common causes with no ring

These send calls to voicemail immediately:

  • Do not disturb is on for the user or the device the number rings
  • Call forwarding to voicemail is set to “always” instead of “no answer”
  • After-hours or holiday routing is active at the wrong time, often because of a time zone or schedule error
  • The desk phone or app is signed out or offline, so the system treats the user as unavailable
  • On VoIP systems, the phone lost its registration after an internet or router change

Common causes after ringing

These let the call ring, then give up:

  • A ring group or hunt group has no available members after a staff change
  • The no-answer timeout is set too short for anyone to pick up
  • Forwarding sends calls to a mobile number whose own voicemail answers first
  • A menu option was renumbered and now points to an unused extension with a voicemail box

Check what changed recently

If the line used to work, the cause is usually a recent change: new business hours, a new employee or someone leaving, a new router, a provider switch, or a number port. Undo or recheck that change first.
